Automated Rental Management (ARM) Product Release 2023 – Enhancement details

1. Convert a Standard Order to a Price Quote

In previous versions of ARM, once you converted a price quote to a standard order, you were not able to change the order back to a quote if the customer changes their mind (or the operator made a mistake). In the 2023 version, the ability to convert a Standard Order to a Price Quote has been added, regardless of if the Contract started as a Price Quote or not. This option can be turned on or off through a new security option added to role maintenance. If this security option is enabled for the user’s role, there will be a new button next to the Contract Type field that will convert the order to a Price Quote. Once a Contract is shipped, it can no longer be converted to a Price Quote.

2. Copy Contract/Invoice Enhancements 

The copy contract and invoice routine has been enhanced with the ability to bring over different pieces of information (pricing, misc. charges, misc. items, comments, and sales lines) now selectively. You also can choose to preserve the original customer number or not.

3. Ability to Un-Return All Lines

A Return Line(s) button has been added to the Lines tab so that one or all lines can be returned without having to access the Transaction Entry screen, similar to how the Unship button functions. A new security event has been added for this. If this security event is enabled for the user’s role, then the new button will be displayed above the lines grid and allow the user to un-return the line that they are currently on or un-return all lines if they are on a blank line.

4. Ability to Lock Line Dates to Header

For those customers who don’t process add-ons to a contract, you can now turn off the date fields in line entry so only the header dates are used. This will simplify the contract entry and invoicing process by only utilizing the dates on the header for all lines. This functionality is enabled via the Contract Profile.

5. Ability to Turn Off-Line Coloring in Contract Entry

For those customers who have many lines on their contract, the color coding of the lines can be turned off to speed up the loading of the contract entry line grid. You can also turn this off if you find the line coloring to be distracting. A new security event has been added to turn this on or off for the various roles in your organization. Additionally, new color coding was added for a warehouse mismatch. A warehouse mismatch occurs when the warehouse code on a line in contract entry does not match the warehouse code selected on the header panel for the contract.

6. Contract Date Validation Changes

In the previous versions of ARM, each date field was validated individually. This could cause inconveniences if the user attempted to change the return date before the ship date, etc. This validation has been changed to occur only when the user leaves the Header panel, so the dates can be changed in any order as long as all of them are correct by the time the user exits the Header panel.

7. Ability to Add Misc. Charges and Items to Accessory Items

You now have the ability to add misc. charges (as a sale) to an accessory item package. Misc. items can also be added as both a rental and a sale item.

8. Integration with Paya’s Click-2-Pay

ARM is now integrated to Paya’s Click-2-Pay solution (subject to add-on from Paya). With Paya’s Click-2-Pay, your customers can now pay their invoices through an online portal with the paid invoices flowing into your ARM and Sage system automatically.

With Click-2-Pay, your customers can also give rental deposits online – with the deposit information flowing automatically to the Contract.

9. Cash Drawer Enhancements

For those customers that are using the Cash Drawer System, the cash reconciliation process has now been integrated to the Sage Paperless Office system, allowing you to save PDF’s copies of the reconciliation registers.

The Cash Paid Out functionality has also been re-introduced to the cash reconciliation system (it was removed at the 2017 version).
